Responsibility not visible in Administer Folders in Forms and default folder in Forms

For a new requirement we wanted to use the Pre-Approved Batches option within Oracle Projects. As you might know Pre-Approved Batches are used to enter directly expenditures on a project. These expenditures can be timecard related but also miscellaneous transactions, expense reports, WIP and burdened transactions are possible.

By default the Pre-Approved Batch Expenditure region of the form is having a default column layout as can be seen below.

In this form we wanted to include the Project Name (for the user to be able to select a project also by project name instead of only the project number)  - next we wanted to change the column header of Assignment into Role as this column generates a list of scheduled roles on the project of the resource (if no roles are defined for the resource the default value will be Unscheduled).

To achieve this use the Folder Tools which are available in nearly every Form. Go to the menu Folder - Show Field... or use the shortcut button on the toolbar. Select the project name field and click OK to add it to the column layout.

Drag the new column into the desired position.

To change the column header of the Assignment column right click the column header which you want to change.

Change the header and click OK.

Save your Folder definition by going to menu Folder - Save As. Set the Autoquery option no Never and check the Open as default and Public options.

We want to be your new column layout the default layout for each and every user when they open the Pre-Approved Batch form. For this we have to assign the folder to the responsibility. To do this switch to responsibility System Administrator and go to menu Application - Administer Folders.

With this functionality you're able to assign your folders to a responsibility or specific users. You can only assign responsibilities to a folder if they are defined as a Oracle Applications responsibility. If your responsibility is defined as a Oracle Self Service Web Applications responsibility it will not show up in the responsibilities list. Change your responsibility type through System Administrator - Security - Responsibility - Define. Change the Available From into Oracle Applications to be able to assign your custom folder definition to the responsibility.

So if your responsibility is not visible in the Folder Assignments part check your Available From setting on your responsibility.

After checking the above complete your folder assignment by selecting your responsibility in the Administer Folders function within System Administrator and clicking Find. Select your custom folder in the Folder Assignments region.

For Behaviour Mode you have 2 options. The default No restrictions and the so called restricted mode Restrict fields and folder functions. When selecting the last one the user will not be able to use the folder functions anymore in the form. In other words - the user can't open any other folder, move columns to a different position or resize a column.

After saving, your custom folder will be the default one for the user using the assigned responsibility.
